Start with genuinely usable area

Total floor area can include stages, storage, bars, equipment, columns, registration, service paths, and furniture zones that guests cannot occupy. Subtract those areas before dividing. A rough gross building size is usually a poor substitute for a measured event layout.

Area per person is a planning choice

Standing conversation, seated dining, classroom tables, exhibits, dance floors, and accessible circulation need different amounts of room. This tool deliberately does not supply a universal default. Choose an allocation appropriate to the actual layout and professional or venue guidance.

Worked example

A room has 3,000 square feet, with 600 unavailable for stage, service, and equipment. At 15 square feet per person, the area estimate is 160 people. If 12 places are reserved for staff and performers, 148 guest places remain. An official cap of 140 would instead reduce the guest estimate to 128.

Official limits take priority

A fire-code occupant load, certificate of occupancy, permit condition, venue rule, or qualified layout review can set a lower limit than simple area arithmetic. Enter a known total cap to make the calculator apply the lower figure, but do not use this page to discover or validate that legal number.

Capacity is more than floor area

Exits, aisle width, door swing, accessibility, restroom provision, ventilation, seating arrangement, crowd movement, staffing, alcohol service, weather plans, and emergency procedures can constrain an event. Ticket count should also allow for staff, vendors, performers, and other people inside the controlled space.

Limitations and responsibility

This estimate is not an occupancy-code calculation, safety approval, seating chart, evacuation analysis, or permit. It assumes one average allocation across usable area and subtracts reserved people from total people. Confirm every event with the venue and relevant qualified authorities.
