Attendee-hours add together

A one-hour meeting with eight people consumes eight attendee-hours. A 30-minute meeting with the same group consumes four. This combined time is useful for planning even when participants have different roles, because it makes the scale of a recurring calendar commitment visible.

Choose the hourly-cost input deliberately

Hourly cost can mean wages only, salary converted to an hourly amount, or a broader loaded cost that includes employer-paid benefits and overhead. Those are different questions. Use one documented assumption consistently and label it when sharing the estimate.

Worked example

Twelve attendees at an average cost of $50 per hour meet for 45 minutes. The meeting uses 9 attendee-hours and has a simple labor estimate of $450. Repeating it 20 times produces 180 attendee-hours and an estimated series cost of $9,000.

Preparation and follow-up are separate

The form counts scheduled meeting duration only. Agenda preparation, travel, context switching, note cleanup, research, and follow-up work can be material. Add those hours through a separate documented estimate rather than hiding them inside an unexplained hourly rate.

Cost does not determine value

An expensive meeting can prevent a larger mistake, resolve risk, train a team, or make a decision quickly. A cheap meeting can still waste time. Use this number to improve attendance, duration, cadence, and agenda design, not as automatic evidence that collaboration should be removed.

Limitations and privacy

This is straight-line planning arithmetic. It does not calculate payroll, taxes, overtime, benefits, billing rates, opportunity cost, productivity, or business outcomes. It uses one average rate for everyone and does not save names, calendars, salaries, or inputs.
